C.G.E - Rental Policy
This Rental Policy sets out the terms that apply when hiring event décor, furniture, equipment, props and other rental items (“Rental Items”) from Classy & Graceful Events (“we”, “us” or “our”).
By placing and paying for a rental order with us, you (“the Customer”) confirm that you have read and agree to this Rental Policy.
1. Rental Bookings
All Rental Items are subject to availability.
A booking is only confirmed once the required payment or deposit has been received and we have issued confirmation of the booking.
Adding an item to your basket, requesting a quotation or making an enquiry does not reserve the item.
Customers are responsible for providing accurate information when booking, including the event date, venue, delivery address, contact information and any access requirements.
2. Rental Period
The agreed rental period will be stated in your booking confirmation or invoice.
Rental Items must be returned or made available for collection at the agreed date and time.
If you need to extend your rental period, please contact us before the agreed return or collection time. Extensions are subject to availability and may incur additional charges.
Unauthorised late returns may be charged at an additional daily rental rate and may also incur other reasonable costs where the delay affects another booking.
3. Rental Prices
Rental prices displayed on our website are for the Rental Items and rental period specified.
Additional charges may apply for services including:
Delivery and collection
Installation and setup
Dismantling
Extended rental periods
Difficult or restricted venue access
Additional labour
Cleaning beyond normal use
Late returns
Missing or damaged items
Any applicable additional charges will be communicated before the relevant service is confirmed wherever reasonably possible.
4. Payment
The payment amount required to secure your booking will be confirmed during checkout, quotation or invoicing.
Where a deposit or part payment is accepted, the remaining balance must be paid by the deadline stated on your invoice or booking confirmation.
Failure to pay the outstanding balance by the required date may result in cancellation of the booking.
5. Security or Damage Deposit
For certain Rental Items or orders, we may require a refundable security deposit.
Where applicable, the amount will be communicated before the booking is confirmed.
The security deposit may be used towards reasonable costs arising from:
Lost or missing Rental Items
Damage beyond normal wear and tear
Excessive cleaning
Late returns
Replacement of damaged or missing components
Subject to inspection and provided there are no outstanding charges, the applicable balance of the security deposit will be returned after the Rental Items have been checked.
6. Delivery and Collection
Where delivery is selected, the Customer must provide the correct delivery address and ensure that we can safely and reasonably access the venue at the agreed time.
The Customer should inform us in advance about any access restrictions, including stairs, lifts, parking restrictions, loading restrictions, security procedures or restricted venue hours.
Additional charges may apply where access information was not disclosed and additional time, labour or transport is reasonably required.
Someone authorised to receive the Rental Items should be available at the agreed delivery time unless alternative arrangements have been confirmed.
Collection times are approximate and may be affected by traffic, venue access and circumstances outside our reasonable control.
7. Customer Collection and Return
Where customer collection is available, the Customer is responsible for using a suitable vehicle and transporting the Rental Items safely.
Rental Items must be protected and secured appropriately during transportation.
The Customer remains responsible for the Rental Items from the time they are collected until they are returned to and accepted by Classy & Graceful Events.
8. Responsibility for Rental Items
The Customer is responsible for taking reasonable care of all Rental Items during the rental period.
Rental Items must only be used for their intended purpose and in accordance with any instructions provided.
Unless we have agreed otherwise, Rental Items must not be:
Altered or modified
Painted
Cut or drilled
Permanently attached to other objects
Exposed to unsafe conditions
Used in a manner likely to cause damage
Sub-hired or transferred to another person or event
The Customer is responsible for ensuring that Rental Items remain reasonably secure while in their possession.
9. Loss, Theft and Damage
The Customer should inspect Rental Items when they are received and notify us promptly if an item appears damaged, defective or incorrect.
The Customer may be responsible for loss, theft or damage occurring while Rental Items are in their possession or control, except where caused by us or where responsibility cannot legally be placed on the Customer.
Where an item is lost or damaged beyond economical repair, we may charge the reasonable cost of replacing it with the same or a reasonably equivalent item.
Where an item can reasonably be repaired, we may charge the reasonable repair cost.
Photographs or other records may be used when assessing the condition of returned Rental Items.
10. Cleaning
Normal cleaning associated with reasonable event use is generally expected.
Additional cleaning charges may apply where items are returned with excessive dirt, stains, wax, adhesive, paint, food, drink or other substances requiring specialist or unusually extensive cleaning.
Customers should not use permanent adhesives, glue, staples, nails or other materials on Rental Items unless we have specifically authorised their use.
11. Outdoor Use
Rental Items should only be used outdoors where they are suitable for outdoor use or where we have approved such use.
The Customer is responsible for taking reasonable precautions to protect Rental Items from adverse weather conditions.
Where weather conditions create a safety risk or a significant risk of damage, we reserve the right not to install, or to remove, affected Rental Items.
Safety will always take priority.
12. Setup and Installation
Where setup or installation is included in your booking, the venue must be accessible and reasonably ready at the agreed time.
The Customer is responsible for obtaining any necessary permission from the venue for installation.
Unless expressly agreed otherwise, Rental Items installed by our team should not be moved, dismantled or materially altered after installation.
Additional charges may apply if our team is delayed because the venue is inaccessible or not ready at the agreed time.
13. Cancellations
If you need to cancel a rental booking, please contact us as soon as possible.
Any refund will depend on the amount of notice provided, costs already incurred in preparing your booking and the cancellation terms stated in your quotation, invoice or booking confirmation.
Unless otherwise stated in your booking confirmation:
Cancellations made more than 30 days before the event may be eligible for a refund, less any stated non-refundable booking deposit and costs already reasonably incurred.
Cancellations made 15–30 days before the event may be subject to a cancellation charge.
Cancellations made 14 days or less before the event may be non-refundable due to the Rental Items having been reserved and unavailable for other bookings.
Nothing in this section affects any cancellation or refund rights that you may have under applicable Canada consumer law.
14. Changes to a Booking
Requests to change the event date, Rental Items, quantities, delivery details or venue are subject to availability.
Changes may affect the total rental price.
We will try to accommodate reasonable requests but cannot guarantee that the same items will be available for a different date.
15. Cancellation by Classy & Graceful Events
In exceptional circumstances, we may need to cancel or materially change a booking because of circumstances outside our reasonable control.
Where we cancel and cannot provide a reasonable alternative, we will refund amounts paid for the Rental Items or services we are unable to provide.
We will not exclude or limit liability where doing so would be unlawful.
16. Product Appearance and Availability
We make reasonable efforts to ensure photographs, descriptions and measurements on our website accurately represent our Rental Items.
However, colours may appear slightly different depending on lighting, photography and screen settings.
Minor variations may also occur between individual items within a rental collection.
If a specific Rental Item becomes unavailable because of unexpected damage, loss or circumstances outside our reasonable control, we may offer a reasonably comparable substitute. We will inform you where a material substitution is required.
17. Event Venue Requirements
The Customer is responsible for confirming that the venue permits the Rental Items and services booked.
This includes checking requirements relating to:
Access
Loading and unloading
Installation times
Collection times
Fire and safety requirements
Decoration restrictions
Floor protection
Outdoor installations
Any venue charges, permits or permissions are the Customer’s responsibility unless expressly included in our quotation.
18. Health and Safety
Rental Items must be used safely and only for their intended purpose.
Children should be appropriately supervised around Rental Items where necessary.
Customers and guests must not climb, hang from or stand on decorative structures, backdrops, plinths, tables or other items not specifically designed for that purpose.
If we reasonably believe an installation or Rental Item cannot be safely used because of the venue, weather or surrounding conditions, we may refuse or discontinue installation until the issue is resolved.
19. Liability
Nothing in this Rental Policy excludes or limits liability that cannot legally be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to applicable law, Classy & Graceful Events will not be responsible for losses that were not reasonably foreseeable when the rental agreement was entered into or losses arising from circumstances outside our reasonable control.
Customers remain responsible for following reasonable safety and usage instructions provided with Rental Items.
20. Force Majeure and Events Outside Our Control
We will not be responsible for delays or failure to perform our obligations where caused by events outside our reasonable control.
These may include severe weather, flooding, fire, major transport disruption, government restrictions, venue closure or other exceptional circumstances.
Where such circumstances occur, we will communicate with the Customer and make reasonable efforts to find an appropriate solution.
21. Ownership
All Rental Items remain the property of Classy & Graceful Events at all times.
Rental of an item does not transfer ownership to the Customer.
Rental Items must not be sold, pledged, transferred, disposed of or otherwise treated as the Customer’s property.
22. Consumer Rights
Nothing in this Rental Policy is intended to restrict or remove any statutory rights available to consumers under applicable Canada law.
If any provision of this policy conflicts with a mandatory consumer right, the applicable statutory right will take precedence.
23. Governing Law
This Rental Policy is governed by the applicable laws of Canada.
Nothing in this provision affects any mandatory rights a consumer may have regarding where legal proceedings can be brought.
