
How Far in Advance Should You Book Wedding Rentals in Calgary?
If there is one question our Calgary event planners hear more than any other, it is this: "How soon do we actually need to book?" The honest answer depends on your date, your guest count, and how specific your vision is, but here is the timeline we recommend to every couple and event host who calls us.
9-12 Months Out: Lock In Your Date
Calgary's wedding season runs May through September, with June, July and Stampede week booking out first. If your date falls in this window, reach out as soon as your venue is confirmed. Tents, specialty linens and lounge furniture are the first things to sell out for popular Saturdays.
4-6 Months Out: Finalize Your Rental List
This is when most of our clients book their full order: tables, chairs, linens, lighting and decor. It is also the ideal time to schedule a design consultation so our stylists can help you finalize a colour palette and floor plan before availability tightens further.
6-8 Weeks Out: Confirm Guest Count & Details
As RSVPs come in, we will help you adjust table and chair counts, finalize your floor plan, and lock in your delivery window. This is also the point where any damage waiver or additional add-ons should be confirmed.
1-2 Weeks Out: Final Walkthrough
Our team confirms delivery times, access instructions for your venue, and any last-minute weather considerations. Final balances are due 14 days before your event.
Booking Last-Minute?
Life happens, and so do beautiful last-minute events. If you are within a few weeks of your date, give us a call directly rather than submitting an online quote request. We keep a portion of our Calgary inventory flexible specifically for short-notice bookings.
